4ERIC ED029679: A Study Of The Organization And Search Of Bibliographic Holdings Records In On-Line Computer Systems: Phase I. Final Report.

This report presents the results of the initial phase of the File Organization Project, a study which focuses upon the on-line maintenance and search of the library's catalog holdings record. The focus of the project is to develop a facility for research and experimentation with the many issues of on-line file organizations and search. The first year has been primarily devoted to defining issues to be studied, developing the facility for experiment, and carrying out initial research on the issues. Achievements involved: (1) obtaining equipment; (2) programming and testing an initial software system, and then expanding it to supply access to the central processor from two different mechanical terminals at two remote locations; (3) planning for acquisition and incorporation of an existing machine file as well as bibliographic records which require original conversions; (4) developing software for data base preparation and for file handling and access; and (5) initiating analyses on issues such as optimum length of search keys. Appended are six reports which cover specific aspects of the project and an article entitled "The Organization, Maintenance and Search of Machine Files," reprinted from "The Annual Review of Information Science and Technology," volume 3. 6ERIC ED206286: Research Report On Development Of A Probabilistic Author Search And Matching Technique For Retrieval And Creation Of Bibliographic Records.

Using macro and micro-structure analysis of large files of personal author names, this study developed retrieval techniques and algorithms to automatically correct and/or flag typographical errors in names, identify names in a database that are similar to a name entered by a user during a search, and measure similarities between names. It was found that personal names have very different characteristics than English language words, and this project demonstrated that useful displays for human verification of author names can be built, although at some computational expense. Automatic correction of errors, requiring greater computation, was not demonstrated by the project; however, such correction seems feasible with extensions of the techniques developed for automatic detection. A bibliography of 39 titles is included. (Author/RAA)

This paper illustrates the way the ideas in the report have been implemented in the teaching of cataloging at the Royal School of Library and Information Science (Denmark). 14ERIC ED376851: Name Formation Of Victorian Women Writers: A Comparison Of Library Of Congress Authority Records And Bibliographic Tools.

This study compared the formation of the names of Victorian women writers in the Library of Congress name authority file to the formation of names in selected bibliographic tools created by humanities scholars. A purposive sample of 52 writers, divided into 12 problem categories derived from Chapter 22 of the "Anglo-American Cataloguing Rules," was searched in four bibliographic tools and the name authority file. A comparison of the variant forms found in the tools and the 100 and 400 fields on MARC (Machine-Readable Cataloging) authority records indicated a significant discrepancy in the formation of names. Forty-one percent of the entries in the tools, representing 45% of the variant forms, did not appear in the 100 or 400 fields of the authority records. It was concluded that further research in the area of authority control of personal names is needed in order to better meet the needs of humanities scholars. Possible solutions to the name discrepancy problem include changing the Library of Congress Rule Interpretations and involving the literary community in the creation of authority records. The appendices contain the data collection sheet and a list of writers included in the study. (Contains nine references.) (DGM)

The centrality of bibliographic records in library automation, objectives of the bibliographic record file and elemental factors involved in bibliographic record creation are discussed. The practical work of creating bibliographic records involves: (1) data base environment, (2) technical aspects, (3) cost and (4) operational methodology. The application of automated processes to library service functions is dependent on the availability of appropriately structured and functional bibliographic data files. There is a general lack of such files. The known bibliographic record files range widely in their scope of coverage, size, detail of data coverage, functional orientation, and method and cost of production. As a rule they are not mutually compatable. The machine readable bibliographic record services offered by the Library of Congress and the British National Bibliography constitute a trend in distribution of machine readable records of standardized definition and multi-purpose functionality to the library world at consistently increasing rate. Although cooperative creation of large bibliographic record files appears to be a feasible objective for the coming decade, it is not clear to what extent a similar sharing by the small library of the required computing services will become possible for purposes of cooperative utilization of the cooperative bibliographic data files. 16ERIC ED045150: Searching And Editing Bibliographic Records Using The IBM Administrative Terminal System (ATS).

IBM's Administrative Terminal System (ATS) is an effective data collection device, but its searching capabilities are severely limited. Searching an ATS document line-by-line is a time consuming process requiring slow printout speeds. A search can operate only upon 9,999 lines of text at any one time. Working storage limitations make it necessary to maintain a quantity of separate ATS documents in permanent storage; each of which is brought in as needed and then returned to storage, so that a series of duplicate searches is necessary if the total file exceeds 9,999 lines. Storage costs as well as access limitations indicate that ATS work is practical only with relatively small and highly fluid files, unless it is used purely for data capture and text editing functions. Costs can be reduced by putting data into off-line storage when not needed and later returning it to the system, but this is not very practical in the present system configuration. To be accessible, data must be maintained in a rigid ATS format. Random searching cannot be done except in a very limited sense. In general, this project was considered worthwhile as a demonstration of the potential and limitations of terminal systems such as ATS. (MF)

Introduction: The IFLA functional requirements for bibliographic records model has had a major impact on cataloguing principles and practices over the past fifteen years. This paper evaluates the model in the light of changes in the wider information environment (especially to information resources and retrieval) and in information seeking behaviour online, rather than in terms of library catalogues per se. Approach: Using a critical analytic approach, it reviews a range of literature across library and information science, and analyses the implications of the changing information environment and information behaviour on usefulness of the model. Conclusion: The paper argues that although the functional requirements for bibliographic records model may be useful in terms of thinking about the bibliographic universe as constituted when the model was first developed, there have been major changes in the form, format, nature, publishing, and relationships of information resources, along with significant developments in users' information seeking behaviour, understanding and expectations. The model may no longer be sufficient as a theoretical and conceptual basis for cataloguing rules and hence for library catalogues, nor for understanding the bibliographic universe. Three reports describe the standards and format to be used when contributing bibliographic records to MELVYL, the University of California (UC) online library catalog. The first report, which was revised and approved in May 1990, defines record format standards, record maintenance information standards, bibliographic fields, local data fields, relationship of bibliographic and holdings records, transaction tapes, tape frequency, backup or input by submitting library, changing to a new system for MELVYL input, tape characteristic standards, and character set standards. The second report, which was approved in revised form in July 1988, defines the minimum data elements required for inclusion of a cataloging record in the UC union catalog. The third report, prepared by Karen Coyle and revised in June 1991, focuses on the MELVYL catalog local data format, including a description of record structure, diagrams of catalog records, a detailed list of data fields, and local data fields. Examples that illustrate the normalization of variable data formats are included. (KRN)

23ERIC ED482244: Global Collective Resources: A Study Of Monographic Bibliographic Records In WorldCat.

In 2001, WorldCat, the primary international bibliographic utility, contained 45 million records with over 750 million library location listings. These records span over 4,000 years of recorded knowledge in 377 languages. Under the auspices of an OCLC/ALISE (Online Computer Library Center/Association of Library and Information Science Educators) research grant, a bibliometric study was conducted of WorldCat. A 10% systematic random sample of the database was analyzed utilizing the OCLC iCAS product to profile the monographic bibliographic records in WorldCat by type of library, subject, language, and publication date parameters. The profile details the information commons of global publication made accessible through the OCLC international network. There were 3,378,272 usable records from the 10% systematic random sample of which 2,199,165 records had call numbers and could be analyzed by subject. Five types of library groupings were established for the study: research, academic, public, special, and school. The research libraries grouping has the largest number or records in the sample with call numbers at 1,745,034. The missions of the different types of libraries can be discerned in the subject profiles for each library grouping. Among the findings of the study are that the profile of WorldCat by time period and by subject divisions is mirrored in the profile of the grouping of research libraries. Of all of the records in the 10% sample, approximately 65% are English language materials with 35% for foreign language materials. The analysis by number of unique records and title overlap demonstrate that the universe of materials under bibliographic control in WorldCat shows a high level of diversity of resources with 53% of records having only one library location symbol. The number of records in the analysis show a sharp decline by most measures from 1992 to the last imprint year in the study. An analysis was performed of the records in the sample with ISBN numbers, finding that only 21% of the 3 million plus records in the study had ISBN numbers. This can be due to the amount of retrospective titles published before the numbering system came into use and also the number of publications that are not from mainstream publishers. But for publications since 1970, 57% of all records with call numbers have ISBN numbers, leaving an intriguing 43% of records with call numbers that do not have ISBN numbers. The findings establish that WorldCat is a rich resource for cataloging records, verification of the existence of titles, and identifying prospective materials for resources sharing. As OCLC continues to implement its Global Strategy, Extending the Cooperative, the number of international members and thus foreign language records and unique titles may continue to increase. This report examines (1) the present state of the art of hardware and software applicable to large-scale conversion, storage, and retrieval of retrospective bibliographic information; (2) the organizational and administrative aspects of the task; (3) costs of hardware, software, and manpower; and (4) possible approaches to the timing and funding of the project. The main body of the report examines the various problems involved and explores possible solutions. It is concluded that (1) the MARC (Machine Readable Cataloging) service should be expanded to cover all languages and forms of material; (2) conversion for a national bibliographic data base requires standardization of bibliographic content and machine format; and (3) large-scale conversion should be accomplished as a centralized project. Appendices discuss (1) duplication (overlap) in U.S. library collections, (2) actual and planned data conversion activities in selected libraries, (3) a summary of interviews with consultants, (4) the history and future of Library of Congress (LC) catalog records, (5) changes in LC catalog cards, (6) completeness of machine-readable catalog records, (7) format recognition, (8) computer requirements for a national bibliographic service, and (9) staff complement and unit costs. 26Rule-based Deduplication Of Article Records From Bibliographic Databases.

This article is from Database: The Journal of Biological Databases and Curation , volume 2014 . Abstract We recently designed and deployed a metasearch engine, Metta, that sends queries and retrieves search results from five leading biomedical databases: PubMed, EMBASE, CINAHL, PsycINFO and the Cochrane Central Register of Controlled Trials. Because many articles are indexed in more than one of these databases, it is desirable to deduplicate the retrieved article records. This is not a trivial problem because data fields contain a lot of missing and erroneous entries, and because certain types of information are recorded differently (and inconsistently) in the different databases. The present report describes our rule-based method for deduplicating article records across databases and includes an open-source script module that can be deployed freely. Metta was designed to satisfy the particular needs of people who are writing systematic reviews in evidence-based medicine. These users want the highest possible recall in retrieval, so it is important to err on the side of not deduplicating any records that refer to distinct articles, and it is important to perform deduplication online in real time. Our deduplication module is designed with these constraints in mind. Articles that share the same publication year are compared sequentially on parameters including PubMed ID number, digital object identifier, journal name, article title and author list, using text approximation techniques. In a review of Metta searches carried out by public users, we found that the deduplication module was more effective at identifying duplicates than EndNote without making any erroneous assignments.
